FAQ: Bulk Uniform Orders and Lead Times

Bulk uniform orders and lead times FAQ hero image for UAE procurement teams

A bulk uniform order is less a purchase than a small project. Fabric has to be secured, samples approved, a whole workforce sized, logos applied, and the finished garments sorted to the right people at the right sites. The date staff must be in uniform rarely moves, so the planning has to.

This FAQ answers the questions procurement, HR and operations teams ask when they plan bulk uniform orders in the UAE and the wider GCC, with particular attention to lead time: what lengthens it, what shortens it and which parts are in your hands.

You will not find a standard number of days here. Lead time depends on the order, and an honest answer explains the drivers instead of guessing.

What this guide covers

Planning a bulk order

What counts as a bulk uniform order?

There is no fixed threshold. In practice an order becomes a bulk order when it can no longer be handled as a simple purchase: several roles, a wide size range, more than one site, or a mix of garments that must arrive together.

At that point the size breakdown, the approval chain and the distribution plan matter as much as the garments. Uniform Suppliers UAE, the uniform and workforce-identity division of Mustang Advertising Trading LLC, handles such orders as programmes; see employee uniform programmes.

Is there a minimum order?

It varies by product and branding, and we confirm it during quotation. A fabric that has to be dyed or woven for you, a large number of different styles, or a branding method with set-up work all influence the workable quantity per style.

Give us the headcount per role, not just a total. A large workforce spread thinly across many different garments behaves like many small orders, and it is better to know that before the specification is fixed.

Do larger quantities change the quotation?

Quantity is one of several inputs, alongside fabric, garment construction, branding method, size spread, packing and delivery. Larger quantities are quoted accordingly, so share your real volumes, including the reorders you expect during the year.

We do not publish price lists. Our article on cost factors in uniform manufacturing explains what moves a quotation, and how to read a uniform quotation helps you compare offers line by line.

When should we start the process?

Work backwards from the date staff must be in uniform. Between that date and today sit internal budget approval, the purchase order, the logo mock-up, sampling, measurement, production, branding, packing and distribution to each site. Several of those steps wait on your organisation, not on the supplier.

For openings and mobilisations, bring the uniform supplier in while headcount is still being recruited. The uniform ordering checklist for the UAE lists the decisions to settle first.

What affects lead time

What is the typical lead time for a bulk order?

There is no typical figure that would be honest for every order. Ready-stock garments avoid the manufacturing stage altogether, while custom manufacturing depends on fabric, quantity and branding. Delivery timelines are confirmed during quotation.

What a buyer can do is understand the drivers below and remove as many delays as possible before the order starts.

Which factors influence lead time?

  • Fabric availability: a fabric the mill already supplies in your colour is quicker to secure than one made to order.
  • Custom dyeing: matching an exact brand shade adds a dyeing and shade-approval step.
  • Sampling rounds: every revision of a sample is another cycle of making, sending and reviewing.
  • Size breakdown confirmation: cutting cannot be planned properly until quantities per size are final.
  • Branding method: embroidery, screen printing, heat transfer and sublimation each have their own preparation and production steps.
  • Order complexity: many styles, colours and trims take more coordination than one garment in volume.
  • Seasonal peaks: busy periods affect mills, production lines and freight alike.
  • Buyer-side approvals: unsigned mock-ups, samples and size lists hold everything behind them.

Fabric choice is often the largest single factor. Where a specific weight, blend or finish is required, tell us early. Final specification will be confirmed during quotation.

Why do seasonal peaks matter in the UAE and GCC?

Demand for uniforms is not even through the year. New school terms, hotel and restaurant openings ahead of the cooler season, large events, and year-end budget spending can all fall close together. Public holidays and Ramadan working hours also change how much gets done in a calendar period.

If your date sits near one of these peaks, place the order earlier than you would otherwise and confirm approvals before the busy period begins.

Some staff start before the full order will be ready. What can we do?

Urgent staff can be supplied from ready stock while the full custom order is completed. Mustang combines ready-stock garments with custom manufacturing in one programme, so early starters are not left waiting for the custom garments.

Tell us at quotation stage which roles and how many people need interim garments. The ready-stock uniforms page explains what this route covers.

What speeds an order up vs what slows it down

Much of the timeline is decided on the buyer’s side. This table sets out, stage by stage, the actions that keep an order moving and the habits that stall it.

Sizing at scale

How do we collect sizes for a large workforce?

There are three workable methods. The most reliable is individual measurement: Mustang offers free onsite individual uniform measurement in the UAE for qualifying company uniform orders, with sizes recorded by name. The second is a try-on session using a set of sample sizes. The third, and least reliable, is asking staff to declare their own size.

The size and fit guide helps where staff cannot be measured in person. Whichever method you choose, record sizes against employee names and IDs.

How do we order for staff who have not been hired yet?

Agree a size allocation for unfilled positions based on the pattern in your existing team, and decide how much spare quantity to include in the common sizes. Workforces in the UAE draw on many nationalities, so the size range is often wider than a standard size run assumes.

Once the people arrive, they are sized properly and added to the record as new joiners.

What happens if garments do not fit?

Garments measured by Mustang are covered by a fit-correction guarantee. It does not cover body-size changes after measurement, and it applies to garments we measured, not to sizes supplied from a client’s own list.

On a large order this is a strong reason to have staff measured individually. The terms are in the measurement policy.

Quality control and approvals

What should we approve before bulk production starts?

Four things: the free digital logo mock-up, the physical sample, the final size breakdown and the packing instructions. Mustang provides free uniform samples against a confirmed Local Purchase Order (LPO), so the sample stage sits directly after the order is confirmed.

Approve in writing and keep a copy. The signed sample is the reference for everything that follows.

How do we check that a large order is consistent?

Agree the reference points in advance: fabric and shade against the approved sample, measurements against the size specification, logo position and size against the mock-up, and pack contents against the staff list. When the delivery arrives, check a selection of packs from each branch against those four points before distribution.

Our article on 10 questions to ask a uniform supplier before you buy includes the quality questions worth asking at quotation stage.

Who should approve on our side?

One named person with authority to decide, supported by brand, HR and operations as needed. Collect every comment internally and send a single response. On a bulk order, split or late approvals are a frequent reason a date comes under pressure.

Packing and distribution

How are uniforms packed for a large workforce?

Mustang packs employee by employee, by name, department, branch or location. Each person’s garments are grouped in their own sizes, and each site receives the packs for its own staff.

This takes the sorting away from your HR team, which matters when a supervisor has to issue uniforms to a full shift in one handover.

Can you deliver in phases?

Yes. Phased delivery and packing by branch or department can be planned, for example by opening date, by site or by priority role. Agree the phases during quotation so that production and packing follow the same sequence.

Can one order cover several emirates or GCC countries?

Yes. We deliver across the UAE and provide GCC delivery and project coordination. For cross-border shipments, the exact delivery time and customs commitments are quoted per project.

See the delivery policy for general terms and GCC uniform supply for multi-country projects.

Reorders and replenishment

How do reorders work after the first delivery?

Mustang keeps stored records of approved sizing, fabric, colour, logo position and branding for repeat orders. A reorder refers to that record, so the specification does not have to be rebuilt each time.

The same factors still apply to timing, particularly fabric availability, so do not assume a top-up is instant.

How should we plan annual replenishment?

Decide how many sets each role receives per year, when they are issued and how leavers and joiners are handled, then place replenishment as a planned order instead of a series of urgent ones. Our annual uniform replenishment checklist walks through the steps.

Should we hold spare uniforms?

A modest reserve in your most common sizes helps with new joiners and damaged garments. How much to hold, and where, depends on staff turnover and storage space, and is worth agreeing as part of the programme.

For safety-critical garments such as coveralls, a reserve also avoids anyone working in unsuitable clothing while a replacement is arranged.

Mustang recommendation: treat the size breakdown and the approvals as your part of the timeline and give them owners and dates of their own. Fabric, production and branding are the supplier’s work; signatures and size lists are yours, and they are where a well-planned order is usually won or lost.

  • Fix the date staff must be in uniform, by site.
  • List garments and headcount per role.
  • Name one approver for mock-up, sample and size list.
  • Raise the LPO as soon as the quotation is accepted.
  • Book measurement by shift and prepare the staff list.
  • Identify staff who need interim garments from ready stock.
  • Supply delivery addresses and site contacts for every branch.
  • Agree how new joiners and replenishment will be ordered.
